MSDSonline

March 25, 2009 - Important Notice: You will need your PawPrint (the part of your email address before the "@") and PawPrint Password (the one used to access email and all official MU systems - not the EHS password used on some of our other systems) after clicking the login link below. If your browser asks you to accept a security certificate, you must accept it to access the MSDSonline service.
Reminder: Instructions to use the new system have been updated. Please read them carefully.

What is MSDSonline?

MSDSonline is a commercial management system that eliminates the need to retain and manage paper ("hard") copies of MSDSs - which was traditionally done in a three ring binder. Instead, MSDSs are managed electronically, which automates the task of keeping those binders up-to-date - while retaining the concept of a binder.

In the program, assigned Administrators will place MSDSs for the products their departments use in an electronic binder, known in the system as an "eBinder". General Users, if they choose their department, will have their search initially limited to the eBinder where they will only see the MSDSs for the products used by their unit - however, the system also allows the user to search the millions of MSDSs available from the vendor. And when a manufacturer updates an MSDS with new information, the system allows MU to instantly update everyone's eBinder at once - so users are getting the most up-to-date information available.

Users: How to Access the System

MSDSonline is being sponsored by Environmental Health and Safety (EHS). In conjunction with unit administrators, EHS has set up a system that provides eBinders for various units. You may access the system from the link at the top of this page, which will open a new page. You may refer back to this page for assistance in using the system.

Users: How to Find an MSDS

To SIGN IN:
  1. Go to the MSDSonline system from the EHS Web Site:
    • Go to: http://ehs.missouri.edu
    • Do not bookmark any other URL as the target URL at the outside vendor may change.
    • Choose "Chemical Safety" from the left
    • Choose "MSDSonline" from under the Chemical Safety Banner
    • Click on the blue "MSDSonline" link next to "Login:" near the top of the page
  2. You will need your PawPrint (the part of your email address before the "@") and PawPrint Password (your email or HR password)to enter the system.
  3. See below to navigate the system.
To FIND AN MSDS
  1. See all MSDSs for a Location (Department)
    • Under Simple Search there are two choices after Quick Lists: Locations or Suppliers. Choose Locations.
    • From the list of Facilities (departments) that opens, click on your department name.
    • You will be presented with a list of all of the MSDSs in your department's eBinder. Either locate the MSDS alphabetically, or use the Search for an MSDS instructions below.
    • From the results presented, click on the PDF icon (in the View column) to the left of the correct MSDS.
    • The MSDS will open in a new browser window where you can view or print the MSDS as needed.
    • When you are done with the MSDS, close the MSDS window by either using the close box of your browser.
    • If you are finished using the system, simply close your browser to log out.
  2. Search for an MSDS
    • The system should default to the Simple Search. This Simple Search looks for MSDSs in all the MU location (departmental) eBinders. It will also look at the MSDSOnline database, which contains millions of MSDSs, if no link is found in the MU system.
    • TIP: Since the campus eBinders only have the limited products you actually use, it is better to use a less specific search method (like using part of the product name and the "Contains a Match" option.) See Search Terms Explained below to understand how each option works. If you get too many hits, then use more of the name and hit "Search" again. If you get zero results, see the section If the MSDS is not in your eBinder below.
    • From the results presented, click on the PDF icon (in the View column) to the left of the correct MSDS.
    • The MSDS will open in a new browser window where you can view or print the MSDS as needed.
    • When you are done with the MSDS, close the MSDS window by using the close box of your browser.
    • If you are finished using the system, simply close your browser to log out.
  3. Search Terms Explained
    • The search functions generally have three options: "Full Text", "Contains a Match" and "Starts With". Each is explained below with examples to help you use the correct option in your search. While each example is given for the "Product Field", the same principles apply to whatever field you are using for the search.
    • Full Text
      • Looks for the search string as a complete word anywhere in product name.
      • Example: a search on ACE will find ACE BANDAGES and FLYING ACE SOAP but will not find ACETONE or FACE CREAM.
    • Contains a Match
      • Looks for the search string anywhere in the product name including as part of a word.
      • Example: a search on ACE will find ACE BANDAGES, FLYING ACE SOAP, ACETONE and FACE CREAM.
    • Starts With
      • Looks for the search string only as the first characters of the product name.
      • Example: a search on ACE will find ACE BANDAGES and ACETONE but will not find FLYING ACE SOAP or FACE CREAM.
  4. If the MSDS is not in your eBinder
    • If you do NOT find the MSDS in your eBinder as described above, then look below where it says there were "Your company database did not produce any results..." In the second box it says "MSDSonline has <number> possible matches for your search item(s). Click where
      indicated to display those results. If there are too many results, modify your search criteria to limit the results.
    • Once again, you can click on the PDF icon in the View column to view or print the MSDS. If this is a product your unit uses regularly, mark the checkbox (in the "Select" column) then click the "Add to eBinder" button to notify an MU Administrator that the MSDS needs to be added to your unit's eBinder.
      • Be sure to complete all of the information in the pop-up box, including your name and your specific Location (University Department) so that EHS can locate the proper supervisor to complete your "add" request.
    • If you are finished using the system, simply close your browser to log out.

Administrators: Managing your eBinders

To SIGN IN:
  1. Go to the MSDSonline system either from the EHS Web Site:
    • Go to: http://ehs.missouri.edu

    • Choose "MSDSonline" from under the Chemical Safety Banner
    • Click on the blue "MSDSonline" link next to "Login:" near the top of the page
    • You will need your PawPrint (the part of your email address before the "@") and PawPrint Password (your email or HR password)to enter the system.
  2. After getting to the MSDSonline interface, you must choose Administrator Login at the top of the left column on the screen to access the login screen. If you do not log in here, you are not working as an administrator.
  3. Enter your MSDSonline Username
  4. Enter your MSDSonline Password
    • Note: if you have forgotten your MSDSonline Username or Password, you must contact EHS to retrieve it.
To ADD AN MSDS:
  1. Check to see if the MSDS is in the MU Master eBinder
    • The system will default to searching the entire University of Missouri eBinder.
    • Enter a string in the "Product Name" box, then click "Search." TIP: See Search Terms Explained (below) to help with your search. If you get too many hits, modify your search string or search option and hit "Search" again.
    • If you find the MSDS you are looking for, either click on the name of the material (in the Product column) or click to the left of the PDF icon so that you highlight the row containing the correct MSDS.
    • Just under where it says Edit Name of Your Product, you will see a toolbar that begins with the word Synonyms followed by the word Versions followed by about 9 more choices. Choose Inventory, which is near the end.
    • Check the box next to the name of your Facility (department) and click the Save button, below. This MSDS has now been added to your eBinder.
    • If you do not find the MSDS you are seeking, follow the section To add an MSDS to both the Master and Department eBinders , below.
    • Be sure to Log Out, below, if you are done.
  2. Search Terms Explained

  3. To add an MSDS to both the Master and Department eBinders
    • There are multiple ways to search the vendor's master MSDS database. The easiest is to click on Search MSDSonline in the blue Search & Add MSDSs box in the left column. (If there are no choices below Search & Add MSDSs, click the small white triangle to the right in the blue header to expose the choices for this section.)
    • Enter a string in the "Product Name" box, then click "Search." TIP: See Search Terms Explained (above) to help with your search. If you get too many hits, modify your search string or search option and hit "Search" again.
    • Make sure you are choosing the correct MSDS by examining the PDF of the MSDS. Generally you should choose the most recent version. Also make sure you are choosing the correct manufacturer.
    • When you've decided which one(s) to add, check the box to the left of the desired MSDS(s) and click "Add to eBinder" at the top of the column.
    • If you can only administer one facility (previously called Level 3 Administrators)
      • The MSDS will be automatically added to your eBinder and you do not have to do anything else.
    • If you can administer multiple facilities (previously called Level 2 Administrators)
      • Immediately click the eBinder link under the gold section on the left labeled Manage Your MSDSs. The MSDS you added should still be highlighted.
      • Just under where it says Edit Name of The Product You Just Added, you will see a toolbar that begins with the word Synonyms followed by the word Versions followed by about 9 more choices. Choose Inventory, which is near the end.
      • Check the box next to the name of the Facility(s) [department(s)] to which you wish to add this MSDS, then click the Save button, below. This MSDS has now been added to your eBinder(s).
    • Be sure to Log Out, below, if you are done.
To LOG OUT:
  • Click on the Log Out link, all the way at the BOTTOM of the page.
